What claims should I use?

It is very important that you choose the correct type of claim for the job you are doing. Choosing the incorrect claim will cause the claim to error when received by Payroll and could cause a delay in your payment. Employees with more than one job must choose the correct assignment when entering a claim.

Teacher – qualified or unqualified

Teachers cannot use the overtime claim form under any circumstances – if it is used the claim will error and may not be paid.

Full-time teacher – claim extra work on the Teachers Claim Template as an OSLA (Out of School Learning Activities). You can choose Teacher’s OSLA claims which will pay the normal hourly rate that your teaching contract is on or Teacher’s OSLA miscellaneous rate, where you can input an hourly rate.

Part-time teacher – any extra work undertaken must be claimed as supply teaching on a supply teaching contract. If you do not have a supply teaching contract a starter form will need to be sent to Payroll and a contract will need to be set up before you can enter a claim.

Please ensure you choose the supply teaching contract when entering the claim. Putting it on the Teaching contract will cause the claim to error and may not be paid.

Supply miscellaneous – if you are a supply teacher that enters supply miscellaneous claims, you will need to enter an hourly rate on your claims. Failure to enter an hourly rate will cause the claim to error and will not be paid.

If you claim more than one hourly rate, a separate assignment will have to be set up for each rate of pay, this is so that it reports to Teachers’ Pensions correctly.

Payroll will name the assignments so that you will be able to identify the correct record.

Casual employee

Casual claims – casual claims must always be entered on a casual record and a scale point must be entered. If a scale point is not chosen, the system will default to SCP1. Ensure you choose ‘Casual Claims Schools DCC’ or if you are an academy you select ‘Casual Claims Schools’. If a casual claim is claimed against any other position than a casual it will error.

Support staff – teaching assistant, mealtime assistant, cleaner/caretaker, playworker

Overtime – extra work carried out in your normal job should be claimed as overtime. Overtime can only be entered on a non-teaching contract. If overtime is entered on a teacher, casual or supply contract it will error.

Higher grade work – if you are working your normal hours at a higher grade, for example, teaching assistant acting up as a higher-level teaching assistant, you will need to use the higher-grade work claim form. The higher-grade enhancement pays the difference between the normal hourly rate on the contract and the hourly rate entered on the claim.

If an hourly rate is not entered the claim will default to SCP1 and this will error on the payroll. The system will not pay the higher-grade work if the SCP entered, is equal to or lower than the scale point on the contract.

When claiming higher grade work on overtime, please remember to also claim the overtime under the overtime claim form as well as the higher-grade work.

If you have more than one position, please ensure you choose the correct job for the claim you are entering. Failure to do so will cause the claim to error and may delay payment.

General points

If your claim is showing as ‘Provisional’, this means that you have not submitted your claim for authorisation.

Approved claims can be searched for by clicking on the search icon. You can enter the dates if you wish or leave blank and click on search at the bottom. This will bring up all claims entered by yourself. Please note that it will not show claims that have been entered by your manager via fast input.

Any claims that are over 90 days must be claimed on the ‘over 90 days’ claim form.
