As part of the transition across to Unit 4 a translation Hub was created to handle input from various Line of Business systems and convert the data from the source external system into the necessary Unit 4 data structure and format.
One of these systems is the Billing System for Devon Education Services. Unfortunately, in a recent recharging run, we have discovered a key issue with the processing of “internal Recharging” to Maintained schools, and other internal units, where the current routine creates a posting description which is an amalgamation of multiple line descriptions from several posting lines, all joined together and posted onto each of the lines used to create the amalgamated description. This creates a meaningless and confusing description to the posting. This issue only came to light when a very large and complicated posting run was put through for the first time.
The initial recharging run created postings on or around the 2nd June 2025 which posted with these amalgamated descriptions. Following extensive work to identify the cause of this problem a reversing posting , using the same amalgamated description was posted on 6th June to reverse out the original postings. Therefore, each Maintained school or other internal unit has a resultant Nil effect of billing on their budget.
This “Internal Recharging” routine has been found to be not fit for purpose and has been discontinued as a channel for recharging Maintained Schools and other internal Units. Urgent work is in hand as a top priority to provide an alternative “Internal Recharging” solution as quickly as possible which will result in meaningful descriptions , on a line for line basis, when recharging our Maintained Schools.
We will provide further details and timescales as soon as we have more firm information to share. We apologise for any confusion or inconvenience that this episode may have caused and assure you that the matter has our full attention
