Sickness Absence and Resignation processes

Can you please provide the following information about sickness absence and resignation processes:

Sickness absence process:

1. Do you have an employee self-certification form available or do you use any other form of self-certification?

We use a generic self-certification form which can be found online via a search engine. We do not have a specific Devon County Council (DCC) self-certificate.

2. Are the employees at Devon County Council able to input sickness directly into the ESS system or does it lay strictly within the Line Manager responsibility?

It can be performed by either employee or manager.

3. How do you inform the manager and/or employee if the employees sickness band has changed from 100% to 50% or 0%.

iTrent (our HR System) will inform HR if an employee has hit a trigger point per our Managing Sickness Absence Policy. We then contact the manager directly to offer support. Managers can also see their employees absence days at any time on iTrent. Employees will be notified by their manager if they have hit a trigger point.

Resignation process:

1. How the resignation process look like in your organisation?

Employees must provide notice in writing via email or letter clearly stating the leaving date and reason for resignation. The amount of notice they are required to give is based on their pay grade.

2. Is the resignation submitted by e-mail to the Line Manager or via online form?

In writing, no online form.

3. If yes what system do you use.

N/A.

4. What departments the form/notifications are sent to

Resignation letters/emails must be sent to the Line Manager or HR Direct who will forward then onto the Line Manager. The Line Manager will complete a leavers form and submit the details onto iTrent. The leavers form is sent directly to Payroll or Employee Changes in the case of movers.

5. Do they store the resignation document anywhere?

The letter can be uploaded to iTrent or kept locally by the Line Manager.
