Free School Meals Voucher Scheme Privacy Notice


Devon County Council (DCC) is processing your personal data as a Data Controller under Data Protection Legislation and our ICO registration number is Z6475582.  This privacy notice concerns the processing of personal data that takes place by DCC for the purpose of providing families who are eligible to receive Free School Meals with access to supermarket food vouchers that are funded as part of the Covid Winter Grant Scheme.

This privacy notice was last updated 04/12/2020. If we use your personal data for any new purposes, updates will be made to the policy information and changes communicated, where necessary in accordance with current data protection legislation.  Any queries relating to this privacy notice please contact the Data Protection Officer.

What information are we processing?

Devon County Council will be writing to all families who are eligible to receive Free School Meals to advise them how they can access supermarket vouchers.  Correspondence will take place by email or via letter, if a valid email address is not recorded.  As part of the delivery of this service, the Council make use of the following information.

  • Your name
  • The name of your children
  • Your email address (if known)
  • Your postal address
  • Details of your eligibility to receive Free School Meals
  • Details of the total value of supermarket vouchers that you are eligible to receive

Purpose of processing your personal data

The UK Government has made funding available to Devon County Council via the Covid Winter Grant Scheme, to enable us to offer food vouchers to eligible families in Devon.  We have decided to extend this service to families who have applied, and who are eligible to receive Free School Meals.  As a family who are eligible to receive Free School Meals, your personal data will be processed for the purposes of enabling you to access supermarket food vouchers as part of this scheme.

The legal basis for us collecting your personal data

Devon County Council has statutory duties under the Children Act 2004 which requires the Council to safeguard the welfare of children and families in Devon.  We feel that the processing of your personal data for the purpose outlined in this notice, is necessary to enable the Council to discharge this function.  On this basis we consider that the intended use of your personal data is lawful on the grounds that this use is necessary for the performance of a public task, carried out in the public interest.

Personal data that is collected for any of the purposes outlined in this notice is never used for direct marketing purposes and your personal data will not be sold on to any other third parties.

Recipients or categories of recipients that we may share your personal data with

Devon County Council does not intend to share your personal data with any third-party organisations as part of the delivery of this service.  However, it may be necessary for your personal data to be shared between departments within the Council, to ensure you are able to access the supermarket vouchers you are entitled to.  Only relevant information will be shared between departments for this purpose.

International transfers

Your personal data will not be transferred outside of the UK as part of the delivery of this service.

How long will we hold your personal data?

Devon County Council will retain your personal data for three months after this service has concluded, after which point it will be securely destroyed.

Your data protection rights

Under Data Protection Legislation, you have the right to obtain a copy of their personal records held by us, this is called a Subject Access Request (SAR).

Alternatively, if you are not happy with the way that DCC is handling your personal data, you are entitled to appeal to the Information Commissioners Office (ICO). The Information Commissioners Office enforces and oversees the Data Protection Regulations.
