Early Years Portal \u2013 schools with early years children<\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Complete the Early Years Portal Task as the pupils will be checked against your census. Schools need to submit new children and carers details via the Early Years Provider Portal by close of Friday 17th May. The information will be checked centrally and reports called \u2018 EYPP \u2013 School Census May 2026 Eligible with reason\u2019 \u00a0and &#8216;2 Year Olds \u2013 School Census May 2026 Eligible with reason\u2019 will be available by Wednesday 20th May which will provide the information required for the census.<\/li>\n<\/ul>\n\n\n\n<ul class=\"wp-block-list\">\n<li>The Early Years portal collection is based on a different week to census and is from Sunday 3<sup>rd<\/sup> May to 10<sup>th<\/sup> May 2026.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">2. COLLECT<\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Check your COLLECT access by logging in to the <a href=\"https:\/\/services.signin.education.gov.uk\/\" target=\"_blank\" rel=\"noopener\">DfE sign in page<\/a>.&nbsp; If you have forgotten your password or username please contact the Department of Education immediately.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">3. Bromcom<\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Check the Scomis Census Bulletin page for any updates on Bromcom census files required to run the Census via <a href=\"https:\/\/faq.scomis.org\/kb2400810\/\" data-type=\"link\" data-id=\"https:\/\/faq.scomis.org\/kb2400810\/\" rel=\"noopener\">Spring School Census 2026 &#8211; Bulletin<\/a> &#8211; <em>(to be updated when available)<\/em><\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">4. Preparing the census data<\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Check school level information e.g. establishment details, school email address, URN etc.<\/li>\n\n\n\n<li>Ensure leavers and re-admissions are recorded and any student records created in error are deleted.<\/li>\n\n\n\n<li>Check pupils\u2019  basic details, e.g. name, date of birth, gender, enrolment status, year taught in, UPN, home address, free school meal eligibility, first language, ethnicity (spring term only), service child indicator &amp; post looked after status (PLAA).<br>Bromcom users: the PLAA status is held in the pupil\u2019s record, it is not populated manually during the school census routine (as was the case with sims software). Please check all pupils\u2019 PLAA status is correct.<\/li>\n\n\n\n<li>Special Educational Needs \u2013 check SEN status, member of SEN Unit \/ Resources Provision indicators and Top Up Funding indicator (plus for the spring census only SEN need and rank). The census \u2018SEN Details Report\u2019 in Bromcom is useful to pass to your SEN co-ordinator for consideration.<\/li>\n\n\n\n<li>Exclusions \/ Suspensions \u2013 this census captures the 2025\/26 Autumn and Spring terms\u2019 exclusions\/suspensions. Please ensure exclusion \/ suspension records have been added against pupil records. E codes in attendance need to match the associated exclusion \/ suspension record.<\/li>\n\n\n\n<li>Attendance \u2013 deal with any missing marks and investigate any \u2018N\u2019 codes (reason for absence is not yet known). Check your school\u2019s use of the new attendance codes against the <a href=\"https:\/\/assets.publishing.service.gov.uk\/media\/66bf300da44f1c4c23e5bd1b\/Working_together_to_improve_school_attendance_-_August_2024.pdf\" rel=\"noopener\">DfE\u2019s regulations<\/a>.<\/li>\n\n\n\n<li>Early Years children \u2013 check Hours at Setting, Funded Hours (2, 3 &amp; 4 year olds), Extended Childcare Hours (3 &amp; 4 year olds), Expanded Childcare Hours (9 months olds to 2 year olds), 30 Hour\/eligibility Codes, Disability Access Fund.&nbsp;&nbsp;(Check 2 year old eligibility and basis for funding and early years pupil premium eligibility and basis for funding &#8211; this is now every census and not just the spring).<\/li>\n\n\n\n<li>Classes (Spring Census only) \u2013 ensure they reflect your selected period on census day. Primary schools: remember to record the correct Key Stage and activity for your class.&nbsp; Do you have any infant classes with 31 or more pupils?&nbsp; if yes, is there an admitted exception or teacher on PPA time?<\/li>\n\n\n\n<li>Post 16 Learning Aims (autumn census only) \u2013 check all student level data and learning aims data has been entered correctly, this impacts on your school\u2019s funding.<\/li>\n\n\n\n<li>Learner Funding and Monitoring \u2013 have you recorded all pupils who are in receipt of tutoring or are resitting or retaking up to one year of 16 to 19 funded provision? Have you added the new English and Maths minimum hours information for post 16? to be collected in autumn 2025 census for the first time.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">5. Producing the census<\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Run through the school census routine in Bromcom, remember to \u2018save &amp; validate\u2019 your return, check and resolve errors and queries, creating a new file to clear resolved errors and queries. Further information is available in our <a href=\"https:\/\/www.devon.gov.uk\/support-schools-settings\/administration-and-finance\/administration\/school-census\/school-census-quick-guide\/\">school census quick guide<\/a>.<\/li>\n\n\n\n<li>Run the detailed reports and summary report to assist you with checking your data and resolving any errors and queries. Print the reports for your records.<\/li>\n\n\n\n<li>Once your Head Teacher is satisfied the data is correct authorise the return.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">6. Return to COLLECT<\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Upload and submit your return to the DfE COLLECT data collection website via the <a href=\"https:\/\/services.signin.education.gov.uk\/\" target=\"_blank\" rel=\"noopener\">DfE Sign In Portal.<\/a><\/li>\n\n\n\n<li>Check for errors and queries in COLLECT and add the appropriate acceptable notes, which can be found on the <a href=\"https:\/\/www.gov.uk\/guidance\/complete-the-school-census\" target=\"_blank\" rel=\"noopener\">DfE census webpages<\/a>.<\/li>\n<\/ul>\n","protected":false},"excerpt":{"rendered":"<p>Use this check list to tick off each of the tasks once they have been completed. 1.
