Please contact the team for more advice.<\/p>\n\n\n\n<p>The following guidance is to support schools and settings and is to be used alongside existing policies and procedures for planning school trips<strong>.<\/strong><\/p>\n\n\n\n<p><strong>Planning the trip<\/strong><\/p>\n\n\n\n<p><strong>Top tips:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Start planning well in advance of the event<\/li>\n\n\n\n<li>Talk to the children or young people<\/li>\n\n\n\n<li>What do they want to get out of the trip?<\/li>\n\n\n\n<li>Do they want to do all of the same activities as their peers?<\/li>\n\n\n\n<li>Are they worried about some aspects of the trip?<\/li>\n\n\n\n<li>Talk to those who have done the trip before; staff and children and young people<\/li>\n<\/ul>\n\n\n\n<p><strong>Mandatory documentation required for school trips;<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Parent or carers need to complete an SOE3 form \u2013 This is the parental consent form for an offsite activity.<\/li>\n\n\n\n<li>A Standard Operating Procedure (SOP) document. This is a step by step set of instructions to enable staff to perform tasks in a consistent manner. They should be brief and easy to understand.<\/li>\n\n\n\n<li>An \u2018Enhanced Risk Assessment\u2019, specifying physical or medical needs (considering transport, the destination, activities, any stop-offs on the way).<\/li>\n\n\n\n<li>The above needs to be agreed within the school and then uploaded to the <a href=\"https:\/\/evolve.edufocus.co.uk\/evco10\/evchome_public.asp?domain=devonvisits.org.uk\" rel=\"noopener\"><strong>Evolve<\/strong><\/a> online system. This is an online educational visits planning and approval system. Adventurous or overseas trips need to be approved by the Local Authority advisor.<\/li>\n<\/ul>\n\n\n\n<p><strong>Additional Documentation that will be needed for the day:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Moving and Handling Plans.<\/li>\n\n\n\n<li>Care plans.<\/li>\n\n\n\n<li>Personal Emergency and Evacuation Plan (PEEP) for the destination.<\/li>\n<\/ul>\n\n\n\n<p><strong>Staff and Helpers considerations:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Ratios: <\/strong>How many adults are needed to support the children and young people on the trip?<\/li>\n\n\n\n<li><strong>Training<\/strong>: Do the adults have the correct training (Moving and Handling, Medical) to support the child or young person with a physical difficulty.<\/li>\n\n\n\n<li><strong>Safeguarding<\/strong>: Are the adults attending DBS checked, if not how will they be supervised<\/li>\n<\/ul>\n\n\n\n<p><strong>The Venue:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Make sure they can offer a suitable experience considering the needs of the children and young people attending.<\/li>\n\n\n\n<li>They may be able to provide examples of the paperwork you need e.g. Risk assessment, PEEPs.<\/li>\n\n\n\n<li>Ask if staff are trained to facilitate the activities.<\/li>\n\n\n\n<li>They may have suitable equipment available to borrow e.g. adapted wheelchairs<\/li>\n<\/ul>\n\n\n\n<p><strong>Accessibility of the venue:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Check the venue is accessible. Consider Stairs\/Ramps, Doors, Toilets, Car Parking. Think about the access to the activity e.g. Rough\/uneven\/unmade paths and tracks. Consider where you will eat or drink \u2013 is this accessible?<\/li>\n\n\n\n<li>Are the activities accessible? Consider getting on\/off rides in theme parks, adventurous activities such as climbing, surfing, swimming, boating\/kayaking.<\/li>\n\n\n\n<li>Access in museums or exhibitions: Consider the exhibit height above ground. Could the child or young person handle the object etc.<\/li>\n<\/ul>\n\n\n\n<p>The following links provide information about accessible venues or changing places:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><a href=\"https:\/\/activedevon.org\/\" rel=\"noopener\">Active Devon &#8211; Supporting and Inspiring for an Active Devon<\/a><\/li>\n\n\n\n<li><a href=\"https:\/\/www.visitdevon.co.uk\/accessible-devon\/accessible-things-to-do-in-devon\/\" rel=\"noopener\">Accessible things to do in Devon<\/a><\/li>\n\n\n\n<li><a href=\"http:\/\/www.accessable.co.uk\" rel=\"noopener\">www.accessable.co.uk<\/a><\/li>\n\n\n\n<li><a href=\"http:\/\/www.changing-places.org\" rel=\"noopener\">www.changing-places.org<\/a><\/li>\n<\/ul>\n\n\n\n<p><strong>Transport:<\/strong><\/p>\n\n\n\n<p>Transport availability:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Does the school have suitable transport. Can suitable transport be borrowed from other local schools \/ within the MAT.<\/li>\n\n\n\n<li>Will transport have to be hired, who can provide it locally. What will the cost be, will drivers be supplied.<\/li>\n\n\n\n<li>If staff\/parents transport has to be used, you will need to check that their insurance covers the journey and has been risk assessed for safeguarding.<\/li>\n<\/ul>\n\n\n\n<p>Accessible transport:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Consider the stairs to get onto buses \/ coaches.<\/li>\n\n\n\n<li>Do you need a vehicle with tail-lift for wheelchair users?<\/li>\n\n\n\n<li>Does the vehicle provide; appropriate supportive seating, seat belts, ISOfix for car seats, space to use a supportive harness. Points to secure and seatbelts for wheelchairs \/ powerchairs.<\/li>\n\n\n\n<li>Are staff trained in securing wheelchairs or children or young people on transport?<\/li>\n\n\n\n<li>A list of Devon taxi firms who supply accessible transport is available using the following link: <a href=\"https:\/\/www.traveldevon.info\/accessibility\/wheelchair-accessible-taxis-and-private-hire-vehicles\/\" rel=\"noopener\">Wheelchair accessible taxis and private hire vehicles &#8211; Travel Devon<\/a><\/li>\n\n\n\n<li>Many local coach and minibus hire firms also have accessible vehicles. If it does not it will have to be verified and tagged.
