Updates

First of all I would like to apologise for the lack of updates on the website.  The past month has been somewhat manic, but we are now in a position to upload the website with lots of updated information.

Construction update (19th February 2010)

Construction is now complete.  The building was handed over on the 29th January 2010.

There is still a lot going on in the building:

  • Furniture is currently being installed
  • Reception desk has been ordered and due to arrive in the next fortnight
  • Rolling rack system on the ground floor is due to be installed on the 22nd February 2010
  • Blinds are due to be fitted week commencing 1st March 2010
  • Rolling rack system for the first floor is due to be installed on the 15th March 2010

IT work packages (19th February 2010)

A lot of IT work is on the go.  The Wide Area Network (WAN) is due to be installed this week.  The telephones should be arriving and installed soon as well.

Project Managers work packages (25th January 2010 )

Project Group met last week on site and IT Project Group met yesterday.

I have been working through invoices for Cat B to enable me to settle final accounts.

Claire Walkey continues to work on the smartcards and is in regular contact with DCC who will be responsible for the issuing/maintaining the smartcards.  Hopefully you have been made aware that Estuary House will have smartcards and that you will be required to have one.

Claire has also placed an order for the toilet areas i.e. paper towel dispensers, bins, toilet roll holders etc and other items such as pinboards and lockers.

Information for Bridge House (25th January 2010)

As previously confirmed, Claire Walkey is taking the lead on ensuring all Bridge House/Estuary House staff is provided with smartcards for access into both buildings.

Happy new year everyone!!!!

Construction update (12th January 2010)

Work on site resumed on the 4th January 2010.  As you are aware the weather has been very cold and icy recently.  A few days have been lost due to weather (namely the installation of the external canopies) but this will not affect the overall programme.  Fortunately the majority of work is now internal.

Works Devon Contractors are working on:

  • Installation of kitchens in the break out area and the tea points
  • Installation of meeting room partition
  • Installation of the external canopies
  • Commissioning of the lift

Completed works:

  • Partitions for individual rooms

Work continues on the server room, IT cabinets have been ordered and are due to be installed soon.

Both Claire and I visited site on Friday and able to confirm construction is progressing very well.

Project Managers weekly work packages (12th January 2010 )

Project Board and Project Group meetings are due to take place this week where a number of strategic and day to day matters will be discussed and resolved.

As completion is imminent it has been decided by Project Group that they should meet on a weekly basis, although to note that the ICT Project Group will continue to meet fortnightly.

Individual floor plans have now been signed off and are available in the floor plans, drawings and information link.  Please note that a photocopier point is missing on the ground floor plan.  We are awaiting a revised plan and will be updated as soon as it is received.

I have now received an interim invoice for Cat B works and am working my through it.

I continue to be in daily contact with the contractor and the developer.

Claire Walkey is taking the lead on organising smartcards for all Estuary House users.  Smartcards will also be issued to staff at Bridge House.

IT Project Group work packages (12th January 2010)

ICT meet every fortnight before Project Group convenes. The ICT lead then provides an update to the Project Group.

Telephony

Basic IP telephony agreed for all desks, mobility and more sophisticated handsets etc to be dealt with as exceptions.

Server room

The server cabinets are on order and termination of wiring well underway.

Resource booking system

IT working on this to find a solution that works for all users.

Travel Plan update (12th January 2010)

Wayne Mizen met with Julia Sanchez of DPT on 7th January 2010 and we are awaiting a timeline from him.  Once this is received it will be uploaded on website.

Construction update (14th December 2009)

Construction is on target with no reported delays.

The construction period is for 38 weeks from signing of the lease which was 20th April 2009. This gives us a completion date of 11th January 2010. A 2 week extension of time has been added for all the internal works which provides us with a formal completion date of Monday 25th January 2010.

Internal Works – All major works on the internal areas (e.g. paint colour, carpets etc) have been agreed and are in the process of being installed.

External Works – Millwood’s have agreed to put in additional landscaping and paving to assist with Bridge and Estuary House so that aesthetically it looks like one site (see above photograph).  This is at no extra cost to the project.

There have been some initial discussions surrounding the existing gates and whether they are to be used or if a barrier is to be installed.  This will be discussed further at the next Project Group meeting. As a future proof measure underground cabling for a barrier is already in situ (at no extra cost to us).

Project Managers weekly work packages (14th December 2009)

Project Board took place last Wednesday where a number of papers were presented:

  1. Telephony options – it was agreed the basic IP phone would be installed.

Functions include:

  • Voicemail
  • Call forwarding
  • Hunt and distribution groups
  • Fixed phone numbers to fixed desks
  • Case conferencing and meeting options – a subsequent report has been requested by Project Board outlining further options and detail and this is to be presented to Project Board on 07 January 2010.

This week there is Project Group and ICT Project Group due to take place on Wednesday where we will be final signing off individual floor plans, which will then be uploaded onto the website – Watch this space!!!!

We will be looking at the furniture quoteand agreeing the furniture for the whole buildings.  Examples of agreed furniture will be posted on the website soon.

There are 2 rolling rack systems within the building (one on the ground and one on the first floor). Individual Partners will pay for these. Quotes are currently being obtained and will be presented to Project Group on the 16th December 2009.

It has been agreed by Project Group that there will be one interactive whiteboard in the main meeting room on the ground floor. Steve Kerridge and Pam Collins will provide a number of options and costings for further discussion at the next Project Group on 16th December 2009.

Furniture

Wayne Mizen has taken the lead on this work package along with Steve Kerridge. The preferred supplier to provide furniture at Estuary House is Fairway Office Furniture and Project Group have signed up to this decision.

A detailed furniture layout design has now been produced for each floor and after a number of different discussions each Partner has revised their floor to allow for additional desks. Please note that we are still within the Health and Safety Regulations. As a result of these additional desks there is a cost implication (i.e. extra cabling, furniture, floor boxes) however we are still well within our overall budget.  Each Partner has agreed to their furniture layout. Please see the attached layout drawings for further information.

Blinds

Quotes have been obtained and will be presented for discussion at the next Project Group meeting on 16th December 2009. Blinds for all 3 floors will be then ordered.

Reception area

Work has started on the proposed layout of the reception along with how the reception will be staffed. This is a large work package and involves close working with all Partners. A meeting has taken place to discuss the reception duties and how the reception area will work, we are still waiting minutes for this meeting, however the following duties were agreed as work that can be carried out by front of house. They include, post in and post out, managing visitors to site, photocopying by request, taking deliveries, overseeing the booking room system, key control/issues, servicing meeting rooms at Estuary House, IT management of inventories and responsibility for the site telephone list. Initial thoughts are that this will not be a full time post.

It is proposed that a paper is produced for the next Board meeting outlining how the reception area will function.

Recycling/waste management

Initial meetings have taken place with DCC and NHS waste management officers to discuss recycling. I am awaiting a further update from Phil Povey who has taken the lead on this work package.  This is expected at the next Project Group meeting on 16th December 2009.

Cleaners cupboard specification

We have requested 2 quotes to supply and fit suitable fire appliances and safety notices. This information was to be provided by 5th December 2009 and will be approved at the next Project Group meeting on 16th December 2009.

Fire extinguishers

Quotes have been received from fire extinguisher suppliers and Project Group will be updated on the 16th December 2009.

Smart card access for Estuary/Bridge House

The first fix of the smart card system has been installed (cabling) with the second fix taking (installation of the readers) taking place after practical completion. Smart cards are required for both sites. This is a substantial co-ordination exercise as photographs are required for approximately 250-300 persons.

A draft protocol paper has been prepared and contact has been made with Devon County Council who will issue the smartcards.

Scoping all the toilets including shower rooms

Miscellaneous items such as towel and soap dispensers will be ordered within the next month.

Continuing to populate the welcome pack and liaising with individuals as appropriate.

IT Project Group work packages (14th December 2009)

ICT meet every fortnight before Project Group convenes. The ICT lead then provides an update to the Project Group.

The pilot for the virtual desktop technology is looking very positive; a resource booking system has been produced and is viewable to DPT and PCT.  Telephony options have been explored .  There is also a piece of work where DPT, South Devon Informatics and DCC are exploring sharing MFD’s across the 2 networks and failing this by March, we intend to invest in the same make and model of equipment so this development can continue and be available in the future.

Helen Smith (HQ Office Manager) from PCT will now be attending Project Group meetings from now on.

Travel Plan update (14th December 2009)

Wayne Mizen is taking the lead on this working alongside Julia Sanchez from the PCT. The Devon County Council travel plan team are also in consultation.  A subsequent questionnaire has been prepared requesting end users to apply for the right to have a parking permit on site. This questionnaire has been sent to respective Unions for agreement and will then be circulated.

An initial draft travel plan has been produced and continues to be populated.  This includes the phrasing that this is the agreed travel plan at present but that there may be changes made in the future that could reduce the amount of days that you can bring your car to work and there may be charges made for the use of the space.

The second draft travel plan is scheduled for completion in early January and I propose that this item goes onto the January Project Board for further discussion and approval.

Project Group and IT Project Group meetings took place last week.  A lot of work was done last week on the furniture layout for all 3 floors.  These layouts are now agreed and allowed confirmation of the positions of the floor boxes.

Claire and I spent some time on site on Friday to have a good look at progress to date room by room.  The building is looking fab!!

A draft travel plan was presented to Project Group last week for discussion. It was considered that as this is an important document it was felt a further meeting was required to discuss the travel plan in more detail.  This meeting has been scheduled for Friday 27th November 2009.

Project Managers weekly work packages (11th November 2009)

No project meetings booked this week (phew!) so as we have a bit of breathing space we are now looking at further planning, particularly looking at exit strategies for all partners plus we are  also looking at exit strategies and timelines for the various contractors to complete their works at Estuary House.

The majority of internal works decisions are now complete.  

Claire is currently looking at reception provision and has approached several companies for design options.  These will be presented to Project Group on the 18th November 2009 for discussion.

Claire is also working on the Welcome Pack for Estuary House staff.  For those who are not aware, a Welcome Pack will be issued to all staff on day 1 and will include all information needed with regards to the building, its facilities and procedures.

Last Friday various group members attended site and carried out a marking of floor boxes exercise on the second floor.  This is to ensure that desks are positioned correctly over the floor box locations once installed.  Photo below.  The first floor will be carried out this Friday 13th (no walking under ladders!!) and the ground floor on the 20th November 2009.

Travel Plan update (11th November 2009)

Wayne Mizen, a key member of Project Group is taking the lead on the Travel Plan for Estuary House.  A draft is to be presented at Project Group on 18th November 2009 with the aim for it to be signed off at Project Board in December.

Construction Update (4th November 2009)

The contractor is continuing with the electrical installation.  

The suspended ceiling frames are being installed.  The vinyl flooring in the toilets (as per the pdf under Project Managers comments 6 October 2009) are being laid.

Internal painting is being carried throughout the building in Crown Summer Mist and Aqua.

We’ve had Project Board, Project Group, ICT and End User Group meetings this week, and its only Wednesday!!!  The Project Board meeting took place at Millwood’s office so that it allowed Project Board to visit site afterwards.  See photo below!!!!  Look very fetching in their high vis jackets!!!

On Friday this week I am attending site with other project members to spend the day marking out floor box positions.  This is to ensure desks are positioned correctly over the floor box locations once installed.  Hopefully we won’t run out of gaffa tape!!!!

Also on Friday we have a representative from a local fire extinguisher supplier to survey the building and make recommendation on how many extinguishers are needed for Estuary House.

We have approached 3 suppliers to quote for the furniture for Estuary House.  Quotes are due back on Friday 13th November and will be discussed at the next Project Group meeting on the 18th November 2009.  I will keep you posted.

Information for Bridge House staff (4th November 2009)

The 20 spaces behind Teign Housing have now been marked out (shown as E/H).  Portacabins currently on the Estuary House site will be relocated to Bridge House site by the end of this week.

Reduced car parking in the Bridge House site will be evident week commencing 6th November 2009 until further notice

Construction update (19th October 2009)

The last 4 weeks has seen some major progress on site.  The cladding works are now complete, the main window installation is complete.  The core walls have now been built.  The lift shaft has been completed, allowing the staircases to be installed.

Externally, foul drainage has been installed and connected to the main sewer lines and the storm drainage is nearing completion.

Project Group are meeting this week on Thursday.  The meeting will take place at Bridge House to allow the group to visit Estuary House.

I have my weekly meeting with Millwood Homes tomorrow to resolve any issues.

Thank you to everyone who completed and returned the travel questionnaire.  We had a great response and received just under 200 returns!!!

We will now collate and analyse the responses, which will form the basis of the overall Travel Plan for Estuary House.

The electrical, mechanical and carpentry first fix is now complete.  The plasterboarding in core areas is currently underway.

Project Managers weekly work packages (6th October 2009)

We’ve had an ICT, Project Group and Project Board meeting this week, and its only Tuesday!!!  We’ve had confirmation that the building will officially be known as ‘Estuary House’.  Minutes will be uploaded on website soon under the ‘Project Meetings’ page.

Current work packages include:

Travel Plan – a questionnaire has been sent to all end users asking for information on their transport arrangements at present and in the future. The closing date for returned copies is the 9th October; these findings will form the basis of the travel plan.

Kitchen – working with Project Group on the layout and design of the tea points and break out area kitchen

Carpets – In principle we have agreed the colour of the carpet.  A sample colour is shown below (please note that this has been taken with a digital camera and may not illustrate the true colour)

Vinyl – Project Group have decided on a colour – attached below.  This heavy duty safety vinyl will be installed in all toilets, shower rooms and kitchen areas.

External Works – this work package is just commencing, we are looking at how Estuary House and Bridge House can merge as much as possible to appear as one site. Millwood’s have agreed to put in additional landscaping, paving to assist with this at no extra cost. We are also investigating external lighting/security.

Furniture – a detailed specification of each Partner’s requirements is being complied and prices obtained for further discussion and approval by Project Group members.

Reception area – works are about to start on planning the layout of the reception along with how the reception will be staffed. This is a large work package and involves close working with all Partners; in particular discussion around the branding and signage for this area.

Meeting Rooms – Work is continuing on specifying what is required in each room, along with provision of white boards etc.

Information for Bridge House staff (6th October 2009)

The Project Manager is still awaiting a date when the car parking is to be reduced at Bridge House.  The response is likely to come mid to end October.  Once known, the Project Manager will liaise with Julie Bearne to ensure additional car parking spaces are available at Teign Housing.

Project Managers weekly work packages (28th September 2009)

This week we are continuing to agree internal works for Estuary House. We are currently working on agreeing the internal partitions, scoping out the server room, deciding on data points and floor boxes. Carpet samples along with kitchen door samples will be provided by the end of the week for Project Group to decide on. I have attended a weekly meeting with the Developer and there are no construction problems to report. Information for Bridge House staff (28th September 2009)

As you are aware the shed has moved this week and been relocated!!. Estuary House site is very busy and although thereis a lot of traffic I hope this is not affecting your day to day work operations. At present the car parking is not affected, there is likely to be a reduction in car parking spaces at Bridge House site by mid October however additional car parking spaces will be made available at Teign Housing. Further details will be provided nearer the time.
